Creating, Editing or Deleting a User

Only Hotel Admin Users have the ability to manage users. If you are not an Admin, please contact your hotel’s Admin User for any user changes.

🌟Best Practices for User Creation

🎯 Managing Performance: Give access to key stakeholders such as the General Manager and Department Heads. Enable weekly or monthly reports so they stay informed about upsell performance and trends.
💰 Managing Upsells: Assign at least 2–3 Users to receive upsell notifications (room upgrades, extras) to make sure no opportunity is missed due to absence or scheduling gaps.
👥 Efficient User Setup: You can create users individually or through Bulk User Creation (see instructions below). Set the right role, access level, and report preferences to match each user's responsibility.
🛎️ Front Desk Team Setup (On-Arrival Upselling): Use the Front Desk Agents bulk upload feature to quickly create multiple FO agents. Ensure agents only have access to On-Arrival upselling for a focused and simple interface.

Here you find an overview of all your Users with their access rights. 

➕ How to Create a New User

Click "Add User" and fill in the following fields:

👤 User Information:

  • Name & Surname

  • Email Address (used for login and notifications)

  • Username (optional – useful for Front Desk agents)

  • Secondary Email Address (for password recovery if User has no email address)

  • RoleOnly Admins can create and manage users

  • LevelDepartment Managers and Senior Leaders can access additional dashboards

  • Title

  • PMS Code(Required for Front Desk upselling users)

✅ Permissions:

Access:

  • Extranet (Pre-Arrival, In-Stay, Setup and all Reports)

  • On-Arrival (ideal for Front Desk access only)

Setup:

  • Access to system setup

  • Access to email templates

  • Access to email delivery settings

Reports:

  • Monthly Performance Report

  • Weekly Performance Report

  • Billing Overview (Upsell summary sent on the 1st of the month)

Notifications:

  • Room Upgrade Requests

  • Extras Purchases (can be filtered by category, e.g. Spa)

  • PMS Error Messages

  • Registration Cards (PDF copies of completed cards)

Hotels:

  • Assign access to specific hotels as needed


👥 Bulk User Creation

Create multiple users in one go:

  • Add the name, email, role, level, and access for several users in a bulk entry form
  • All users will receive individual access credentials by email
  • You can edit or update user details later as needed



👥 On-Arrival Bulk User Creation

You can add multiple Front Desk Agents at once for the On-Arrival front desk upsell program:

  • Choose bulk upload

  • Use a generic Front Desk email (used for sending user credentials)

  • Input Name and Surname

  • The Username is auto-created but can be manually changed


✏️ How to Edit, Delete, or Resend Access

Click on the three dots (⋮) next to any user to:

  • Edit user details

  • Delete the user

  • Resend access information

New users automatically receive an email with login instructions and their password.
