(Opera) Creating an Arrivals Report

This step-by-step guide demonstrates how to set up a report in Opera PMS and schedule it to UpsellGuru on a daily basis. The report will contain the following fields of information:

Reservations Number, Guest name, Email address, Stay dates, Room type booked, Booked Add-ons, Rate Code, Market Segment, Booking Source, Profile Language and Reservation status. If you require to provide us any other information you see valuable for your up-selling strategy, please contact support@upsellguru.com   

I. Configuring the Report

1. Download this file to an accessible directory in your computer. 

2. Login to Opera Configuration and go to: Setup > Report Setup > Reports


3. In Reports, select New and complete as below (it is essential that you check the field for Simple Report)


4. Click on Customize and you will see the following report set up screen:


5 Click on Import and select the file that you have saved to an accessible directory.


6. Click on Open and you will see the following:


7. Select Upload. 

8. Click on OK and then close.


II. Scheduling the report

1. Login to Opera PMS and go to Miscellaneous > Report Scheduler

2. Click on New and then search for the UpsellGuru Report as shown below. You need to ensure that Print to File is checked, File Format is Delimited and Delimiter is a comma. Click Ok.


3. Setup the Scheduler from today's date (select a time in the AM) and for the report to repeat every 1 day.  


4. Click on OK and you will see a date parameter field like the one below (this will default to today’s date). Click on File and Close.


5. Your screen will look something like the below (depending on whether you have any other reports scheduled):


6. Click on New and enter the email address provided by UpsellGuru in the field (this is an unique email that will be used for this property only). You will find the email address in the UpsellGuru Extranet under the INTERFACES tab. 






III. Setting the date parameter

1. Highlight the UpsellGuru Report and ensure that the radio button for Parameters is set as shown below:  


2. Highlight the To Date and click on Set date. Using the numeric pad select +3 * as shown below.

(* The date set above is based on an assumption that you are looking at the report date plus 3 days. This means that UpsellGuru would send out the up-sell emails 3 days prior to guests'arrival. Any permutation can be achieved using the plus or minus buttons on the numeric pad).


3. Click on OK and your result will be like the following:


4. Click Ok and you are all done.



(Optional): Schedule a 2nd report


Schedule a 2nd report to capture more reservations. 
If your 1st report was scheduled 3 or more days in advance of arrival, it can be worth (depending on your average booking window) to schedule a 2nd report closer to the arrival date (e.g. 1 or 2 days).

1. Go back  Miscellaneous > Report Scheduler and start at step  II. Scheduling the report
2. Complete the scheduling part exactly as done previously.
3. Once you reach step  III. Setting the date parameter, select a date closer to arrival (e.g. +1 or +2).  


(Optional): Room Type Availability

If you require for UpsellGuru to check availability, please also schedule an Availability Report. 

1. Login to Opera PMS and go to Miscellaneous > Report Scheduler

2. Click on New and then search for Detailed Availability Report. File Format is Delimited and Delimiter is a comma.

If available, select  Print to File. Click  Ok.

3. Setup the Scheduler from today's date (select same time as the reservations report) and for the report to repeat every 1 day.  

4. Filter for ALL ROOMS and display AVAILABILITY. 



5. File and close.
